Job Description:
- Schedules and organizes complex calendar activities such as meetings, arrangements, travel plans and department activities.
- Handle calendar management and associated tasks, booking meeting rooms, preparing documentation and scheduling meetings.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Prepare, type and distribute correspondence, reports, presentation slides and other administrative work including minutes of meeting.
- Keep records of all information related to project for documentation, clarification, and presentation.
- To prepare and compile bid submission documents concerning tendering/bidding activities, tender questionnaires and pre-qualifications.
- To vet through incoming tenders and to note down tender due date, project start and end date, tender submission instructions/requirement and mode of submission.
- To prepare and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing and preparation of outgoing submissions.
- To ensure that tender submissions are standardized in terms of format, font, logo, etc. and in line with customer’s tender requirements.
Requirements
- Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc.
- Ability to pay attention to detail.
- Good communication skills.
- Ability to solve problems.
- Ability to manage time effectively.
- Must have basic knowledge of computer.
- Possess experience in IT project management or administrative management.
